Who we are
London PC Works is an independent IT services business based in Feltham, West London, providing PC and laptop repairs, hardware upgrades, custom PC builds and Wi-Fi and home-network support. This notice explains how we handle personal information when you use https://londonpcworks.co.uk, contact us or arrange a service.
London PC Works is the controller of personal information used to manage enquiries, customer relationships and business records. For privacy questions or requests, contact info@londonpcworks.co.uk.
Information we collect
We collect information you provide through our enquiry form, email, telephone or during a service. This can include your name, email address, telephone number, service address where needed, messages, appointment details, quotations, invoices and payment status.
For technical work, we may need device makes, models, serial numbers, specifications, fault descriptions, diagnostic results, relevant system logs, network settings and information about coverage or connectivity. Logs and screenshots can contain usernames, IP addresses or other personal information. We aim to collect only what is relevant to the job.
Our website and hosting provider may also collect technical information such as your IP address, browser, device type, pages visited and cookie preferences.
Why we use information and our lawful bases
- To respond to requests for quotations, arrange appointments and carry out agreed work: taking steps at your request before a contract, or performing our contract with you.
- To manage general enquiries, keep appropriate service records, diagnose faults, secure our systems and handle complaints or disputes: our legitimate interests in running a reliable IT service and protecting our business and customers, balanced against your rights.
- To keep required accounting records and comply with valid legal requirements: legal obligation.
- For optional marketing and non-essential cookies where consent is required: your consent. You can withdraw it at any time without affecting earlier lawful processing.
You do not have to provide information, but we may be unable to respond, quote or carry out work without the contact and technical details necessary for that service.
Customer devices, files and network access
Repairs and troubleshooting may require access to your device, operating system, settings or files. We limit access to what is reasonably necessary for the agreed work. We do not browse personal files for unrelated purposes or use customer files for advertising.
We will discuss access requirements and any proposed data transfer, backup, reset or remote-support session with you. Remote access, if agreed, is for the agreed support task. Do not send passwords, payment-card details or sensitive personal documents through the website enquiry form. Where access credentials are necessary, we will agree an appropriate way to provide access; temporary credentials should be changed or revoked after the job.
Please back up important files where possible and tell us before work starts if the device contains sensitive information or information belonging to other people. A privacy notice is not a replacement for agreeing the scope of work or permission to access a device.
For business customers, where we handle personal information solely on your instructions, we may act as your processor rather than controller for that information. Relevant processing instructions and contractual safeguards must be agreed before that work begins.
Who we share information with
Information may be handled by providers needed to operate our website, email and business administration, including Shopify as our website host. Where relevant to an agreed job, limited information may be shared with a parts supplier, warranty provider, specialist repair provider, payment provider or professional adviser. We will discuss arrangements involving a third party accessing your device or files before proceeding, unless disclosure is legally required.
We may disclose information where necessary to meet a legal obligation or establish, exercise or defend legal claims. We do not sell customer personal information.
Shopify also processes website information under its own applicable privacy terms. Details are available at https://www.shopify.com/legal/privacy and https://privacy.shopify.com/en.
Cookies and optional marketing
Shopify uses cookies and similar technologies to operate and protect this website. Depending on enabled features and your choices, additional analytics or advertising technologies may be used. Where consent is required, non-essential technologies should only operate after you agree through the site's privacy controls. You can revisit those controls where available, or manage cookies in your browser. Blocking essential cookies may affect site functions.
Submitting a service enquiry does not by itself subscribe you to marketing. If you choose to receive promotional emails, you can unsubscribe using the link in the message or contact us.
International processing
Shopify and other service providers may process information outside the UK. Where a restricted international transfer occurs, the applicable provider arrangements must include an appropriate legal safeguard, such as UK adequacy regulations or approved contractual safeguards. Contact us for information about the safeguards relevant to your data.
How long we keep information
We keep personal information only for as long as needed for its purpose. For enquiries, this depends on whether the enquiry is resolved and whether it leads to a service. For customer and repair records, we consider ongoing support, warranties, complaints and possible legal claims. Accounting records are kept for the period required by applicable tax and accounting rules.
Temporary diagnostic material, working copies of files and access credentials should be removed when no longer needed for the agreed job, subject to any separately agreed backup arrangement or legal requirement. We review retained information and delete or anonymise it when there is no continuing reason to keep it. Ask us about the retention arrangements for your particular job.
Keeping information secure
We use appropriate technical and organisational measures to protect information and restrict access to those who need it for their work. No website, device or communication method can be guaranteed completely secure. Contact us promptly if you suspect a security issue involving information you have shared with us.
Your rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of processing or transfer of information to another provider. Where we rely on consent, you can withdraw it.
You have the right to object to processing based on legitimate interests, and an absolute right to object to direct marketing. Contact info@londonpcworks.co.uk to exercise these rights.
These rights are subject to legal conditions and exemptions. We may need proportionate proof of identity. Requests are normally free, and we normally respond within one month; we will explain if a permitted extension applies.
Questions and complaints
Please contact info@londonpcworks.co.uk with any privacy concern so we can investigate. You can also complain to the Information Commissioner's Office, the UK's data protection regulator: https://ico.org.uk/make-a-complaint/.
